How to automate your business WhatsApp with AI (without losing the human touch)
What a small business can automate on WhatsApp, what's better left to a person, what it costs and how to get started without wrestling with technology.
If you run a business with customers, your WhatsApp is probably a mix of questions you’ve already answered a hundred times: “what time do you open?”, “how much is it?”, “do you have a slot on Thursday?”. Each one takes two minutes. By the end of the day that’s two hours. Automating that part isn’t about replacing you; it’s about spending your time on the conversations that actually need a person.
What you can automate on WhatsApp
These are the tasks that work best for small businesses:
- Frequent questions: opening hours, address, prices, payment methods, parking.
- Bookings and appointments: the assistant checks your calendar, offers slots and confirms.
- Reminders: a message the day before cuts forgotten appointments a lot.
- Review requests: after the service, a friendly message with the link to your Google profile.
- Sorting and handing over: if someone asks for a special quote or complains, the assistant alerts you and passes you the chat.
What’s better left to a person
Automating everything is the most expensive mistake. A complaint, a price negotiation or a customer with serious doubts needs a person. A good assistant knows its limits and says “I’ll pass you to Laura” at the right moment. If customers feel they’re talking to a machine that doesn’t understand them, you’ve lost more than you saved.
Three levels, from simple to complete
1. WhatsApp Business, no AI. The free app already offers a greeting message, an away message, quick replies and a catalogue. If you don’t use it yet, start here: it’s free and takes an afternoon to set up.
2. AI assistant. An assistant trained on your business information answers in natural language, at any hour, and understands questions asked in a thousand different ways. It has to connect to WhatsApp through the official business platform, not the regular app.
3. Assistant connected to your tools. The next step is for the assistant to read and write in your calendar, your customer sheet or your CRM: it books for real, saves the contact and sends the reminder without you touching anything.
How to tell if it’s worth it
Do this sum for a week: note how many repeated messages you answer a day and how many minutes they take. If it’s more than 30 minutes a day, or you lose customers because you reply late at night or at weekends, automation pays for itself within a few weeks.
What it costs
It depends on the level. WhatsApp Business is free. A well-configured AI assistant for a small business usually has a set-up cost and a small monthly fee for maintenance and usage. At Bartor, AI automation starts at €249 for set-up plus €39 a month (+ VAT), and before proposing anything I review the tools you already use.
How to start without overcomplicating it
- Collect your 20 most frequent questions with the answer, just as you’d give it.
- Decide what you don’t want to automate and when the assistant should hand you the chat.
- Test with a small group of customers or at specific hours before opening it to everyone.
- Review the conversations in the first weeks and adjust any answers that don’t sound like you.
That last point is the one people forget most: the assistant has to speak like your brand. If you’re warm and informal in your shop, the assistant should be too.
Frequently asked questions
Will my customers know they’re talking to an assistant? That’s the recommended approach. Saying so naturally builds trust, especially if you make clear a person can step in at any moment.
Can I keep my usual number? Usually yes, although the number then runs on the business platform. It’s worth checking before you start so you don’t lose history that matters to you.
Does it work for small businesses? They gain the most. In a one- or two-person business, every hour you get back shows in your day.
Do you work with businesses outside Alicante? Yes. I set it up remotely for businesses in Alicante, Alcoy, Elche, Benidorm and the rest of Spain, without you having to travel.
